Email Archiving and Keeping Old Mail

When years of email pile up, your inbox both slows down and fills up your storage quota. But you don't want to delete old mail; much of it may be needed later. The solution is archiving: keeping mail in an orderly way without deleting it and lightening your inbox.

What is archiving? Archiving means taking mail out of the inbox and moving it to a separate "Archive" area. The mail isn't deleted, it just moves away from the daily flow; you can search for and reach it whenever you want.

Archiving on the server (webmail/IMAP):

  1. Log in at https://mail.gelecekint.com.
  2. Create a new Archive folder (or use the existing Archive if there is one); you can open subfolders by year (2024, 2025).
  3. Select the old mail and move it to this folder.
  4. Thanks to IMAP, this folder appears on all your devices.

Important warning - a server archive consumes quota: Every folder on the server (including Archive) counts toward your storage quota. That is, archiving within the server organizes mail but doesn't free up space. To actually free up quota, you should create a local archive by downloading the mail to your computer.

Local (on-computer) archiving:

  1. Open your account with IMAP in a program like Thunderbird.
  2. Create an archive folder under "Local Folders" on your computer.
  3. Move the old mail from the server to this local folder (moving, not copying, frees up space).
  4. The mail is now stored on your computer and your server quota is freed up. Back up this local archive regularly too.

Tips for staying organized:

  • At set intervals (e.g. once a year), move that year's mail to the archive.
  • Archive the Sent folder too; it usually takes up the most space.
  • Archive mail with large attachments first.
  • Don't archive the Junk and Spam folders; empty them.
