The Virtual PBX Setup Process

Unlike a traditional telephone system, virtual PBX setup is a fast, seamless process that can largely be carried out remotely. At Gelecek İnternet, we bring a fully functional cloud PBX structure online within a few business days, without disrupting our customers' workflow. In this article, we explain the steps of the setup process and the points to pay attention to.

1. Needs Analysis and Planning

Before setup, your business's call volume, number of extensions, branch structure and special requirements are assessed. How many simultaneous lines are needed, which departments require a separate voice menu, and the call routing rules are determined at this stage.

2. Number and Line Configuration

We can port your existing phone numbers (number porting) or assign new virtual numbers. Geographic numbers and corporate numbers such as 850 or 444 numbers are defined in the system at this stage.

3. Extension and User Definitions

An extension number is created for each employee. Users can connect to the system in one of the following ways:

  1. Desktop IP phone devices
  2. Softphone software on computers
  3. Mobile apps on smartphones

4. Call Flow and IVR Setup

Rules such as the voice welcome menu (IVR), which department calls are routed to at which hours, and what happens when a line is busy or unanswered are configured. In-hours and out-of-hours scenarios are defined separately.

5. Testing and Go-Live

Once setup is complete, incoming and outgoing calls, forwarding, the voice menu and recording features are tested in detail. Voice quality and latency measurements are taken to ensure the system runs smoothly.

6. Training and Support

Training is provided on the management panel and user applications so your team can use the system efficiently. Our technical support team is also by your side after setup.

Pre-Setup Preparation

  • A sufficient and stable internet connection (fiber recommended)
  • A network configured to prioritize voice traffic (QoS)
  • Clarification of the user list and department structure

Internet bandwidth is critically important for high-quality voice transmission; allocating approximately 100 Kbps of capacity per simultaneous call is recommended. We assess together, before setup, whether your network can handle this traffic.
